Accounting firm · Monthly owner reports, automated

The monthly numbers: built, checked and sent before anyone asks.

The gist

An accounting firm does Fractional CFO work for small businesses. Every month, each client gets an owner pack: how the month went, where margins and costs moved, where the cash is tied up, and which customers matter. Building one took the staff a few hours per client, every month. They pulled the books into Excel, refreshed last month's workbook, rebuilt the charts and checked the totals by hand.

Now the pack builds itself. On the fifth business day, after the close, five interactive reports are built from the live books. Fixed rules check every number, and an accountant approves the pack before it goes out. Nobody has to ask for it, and nobody rebuilds it.

You can open the June pack yourself. The company and its books are fictional.

What this solves

The pack arrives without anyone asking. It runs on a schedule after the close, so nobody chases it or rebuilds it.

The same five reports, every month. Owners learn where to look, so a change stands out.

Numbers that check themselves. The trial balance balances, the bank ties to the statement, and receivables and payables tie to their aged lists.

A person still signs off. An accountant approves every pack before the client sees it.

The problem

Monthly reporting looks like it should be quick: the same pack, every month. But the books change, last month's workbook breaks, and every chart gets rebuilt and every total checked by hand. That's a few hours per client, every month, before an owner sees a single number.

Workflow

Here's the path from the closed books to an approved pack.

Workflow, plain viewThe path from the closed books to the owner. The client's books in QuickBooks, closed each month as today, feed a pack that's built and checked on schedule: five reports, every number tested. Fixed checks run before anyone looks. The result is the owner pack, approved: an accountant signs off before it's sent.Your books in QuickBooksClosed each month, as todayFixed checksThey run beforeanyone looksBuilt and checked on scheduleFive reports, every number testedYour owner pack, approvedAn accountant signs off first

Three calls shaped the design:

  • A schedule, not a request. The pack runs on the fifth business day, after the close. If the books aren't closed, a check fails and the accountant sees why.
  • Interactive, but safe to send. A live dashboard opens only inside the data tool. So the owner gets snapshot pages behind a link that expires.
  • Built on the books already mapped. Each client's chart of accounts was mapped once for the ad-hoc reports, so the pack reuses that model and those checks.

What's next

Each client's pack can grow one report at a time, on the same model and the same checks.
